About the Role:
As a Podcast Administrative Coordinator, you’ll be an integral part of our podcast production team, ensuring smooth operations and efficient project management. You’ll manage schedules, coordinate interviews, track progress, and maintain communication across multiple channels. Your organizational skills, attention to detail, and ability to work independently will be crucial in this role.

Responsibilities:
- Scheduling: Schedule and coordinate podcast interviews and related calls, ensuring timely communication with guests and team members.
- Equipment Management: Manage and process equipment shipments, including tracking and ensuring timely deliveries.
- Communication: Review and respond to podcast-related emails, maintaining a professional and helpful tone.
- Project Tracking: Track and update tasks within project management software (e.g., Asana, Jira, Smartsheet).
- Schedule Management: Maintain podcast production schedules and timelines, ensuring tasks are completed on time.
- Calendar Management: Manage the Outlook calendar for podcast-related meetings and events.
- Content Preparation: Assist with podcast content preparation, such as gathering research or preparing interview outlines.
- Administrative Support: Provide general administrative support, including managing guest release forms and other podcast-related documents.
- Performance Self-Assessment: Regularly utilize Arbinger’s internal 3A+ tool to assess and improve individual performance.
Required Capabilities:
- Organizational Skills: Proven ability to be organized and detail-oriented, with the capacity to manage multiple priorities.
- Communication: Strong written and verbal communication skills, with an understanding of confidentiality and professionalism.
- Technical Skills: Proficiency in project management software (e.g., Asana, Jira, Smartsheet) and ability to manage an Outlook calendar.

Qualifications:
- Experience: 1 year of complex project coordination experience required. 1 year of experience working in a remote environment preferred.
