Position Summary:
As a Leave Administration Specialist, you’ll report to the Benefits Manager and oversee the administration of various leave requests, including FMLA, state and local leaves, and short-term/long-term disability. You’ll be the primary point of contact for clients and employees, providing guidance, processing requests, and ensuring compliance with all applicable laws and regulations.
Essential Duties and Responsibilities:
- Communication and Guidance: Facilitate clear communication between employees and client contacts regarding leave requests, ensuring everyone understands their rights and responsibilities.
- Leave Administration: Manage the entire leave process, from initial notification to return-to-work, maintaining accurate records and documentation.
- Benefits Coordination: Coordinate with Benefits and Payroll teams to ensure the continuation of employee benefits during leaves of absence.
- Compliance Expertise: Advise clients on the interaction of federal and state leave laws with other benefits, such as paid time off, workers’ compensation, and disability.
- State Leave Processing: Facilitate and process state leave requests, both paid and unpaid, ensuring compliance with state-specific regulations.
- Medical Support Notices: Process and respond to Medical Support Notices, researching benefits, calculating costs, and communicating with relevant agencies.
- Confidentiality: Maintain strict confidentiality of employee medical documentation and files.
- Stay Informed: Stay up-to-date on all applicable leave laws and regulations.
Minimum Qualifications:
- Education: Bachelor’s degree in Human Resources or a combination of relevant education and work experience.
- Experience: Minimum of two years’ experience in human resources/benefits, with direct experience in leave administration strongly preferred.
- Knowledge: Extensive knowledge of FMLA and other applicable leave laws.
- Skills: Excellent analytical, problem-solving, organizational, and communication skills. Proficiency in Microsoft Office Suite.
Preferred Qualifications:
- Certification: Completion of specialized certification or training on FMLA/leave administration.
- ADA Knowledge: Comprehensive knowledge of protections offered under the Americans with Disabilities Act (ADA).
