Are you a highly organized and proactive professional with a passion for supporting executive leadership? GovCIO is seeking an Executive Assistant/Coordinator to join our team in a hybrid remote role.
You’ll work closely with the Senior Vice President of the Veteran Enterprise Technology Solutions (VETS) Health and Treasury (VETS HEAT) sector, ensuring smooth operations and effective communication.
Overview:
As the Executive Assistant/Coordinator, you’ll play a vital role in supporting the day-to-day activities of the Senior Vice President and their leadership team. You’ll manage executive tasks, coordinate office operations, and facilitate seamless communication across the enterprise.
Your exceptional organizational skills, attention to detail, and ability to thrive in a fast-paced environment will be essential to success in this role.
Responsibilities:
- Communication and Coordination: Act as a liaison between the Senior Vice President, sector leadership team, and enterprise-wide partners.
- Appointment Management: Independently establish and manage appointment priorities for the executive.
- Office Operations: Coordinate day-to-day office activities, including problem-solving, task prioritization, and responding to written communications.
- Project Support: Drive tasks and projects towards completion, including program planning, coordination, and preparing executive-level meeting minutes and presentations.
- Correspondence Review: Review outgoing and incoming correspondence, ensuring alignment with policies and the executive’s viewpoints.
- Delegate in Absence: In the executive’s absence, ensure requests for action or information are relayed to the appropriate staff promptly.
- Travel and Expense Management: Coordinate domestic travel arrangements and prepare expense reports for approval.
- Team Support: Assist business unit teams with travel and meeting coordination, agendas, and minutes as needed.
Qualifications:
- Education: Bachelor’s degree with 2-5 years of relevant experience or commensurate experience.
- Skills and Abilities:
- Analytical Thinking: Ability to analyze and solve organizational problems effectively.
- Excellent Communication: Strong written and verbal communication skills, including technical writing and the ability to translate technical concepts.
- Discretion and Integrity: Ability to handle sensitive information with confidentiality and maintain the highest ethical standards.
