About the Role:
As a Remote Administrative Assistant, you’ll be a key player in supporting executive leaders and their teams, ensuring smooth operations and efficient communication. Responsibilities:
- Executive Support: Provide direct support to VP and AVP level leaders, including managing their calendars, coordinating meetings, and handling correspondence.
- Team Support: Offer administrative assistance to Directors, Managers, and Individual Contributors, including scheduling meetings, processing shipments, and coordinating travel.
- Document Preparation: Transcribe, type, format, and proofread a variety of materials, such as correspondence, invoices, contracts, agendas, meeting minutes, reports, speeches, and presentations.
- Meeting Coordination: Coordinate internal and external meetings, including scheduling, arranging logistics, and ensuring necessary amenities are available.
- Travel Arrangements: Manage travel arrangements for executives and team members, including booking flights, hotels, and transportation.
- Communication: Answer telephones, screen calls, take messages, and provide information to callers and visitors.
Required Qualifications:
- Experience: 2+ years of administrative support experience working with senior leadership.
- Technical Skills: Proficiency in Microsoft Outlook, Microsoft Office Suite, Zoom, SharePoint, and Teams.
- Soft Skills:
- Ability to balance and manage multiple initiatives and prioritize workload.
- Resourceful, with strong attention to detail and ability to anticipate needs.
- Excellent organizational and communication skills.
- Capacity to maintain confidentiality.
Preferred Qualifications:
- Education: Associate or Bachelor’s degree.
